Rixio
Scope + payments + approvals · in one audit trail

Stop scope creep. Get paid on time.

Every change request becomes a priced, signed change order before any work starts — no more "we talked about it" turning into unpaid weeks. Time-locked chat queues the 11pm messages for the morning. Clients approve without creating an account. And every scope, signature and payment lives in one exportable audit trail.

Three problems no team tool can fix

The work isn't the problem. The space around it is.

Notion can't sign your agreement. Trello can't gate the next phase on payment. Asana can't tell a client it's 11pm. These tools were built for the inside of your team, not for the relationship with your client. That gap is where the money leaks and your evenings disappear.

The midnight message

A client pings you at 11pm via WhatsApp expecting an immediate reply. The line between work and life is gone. You either answer and resent it, or stay silent and feel guilty.

Rixio queues off-hours messages — clients write freely, you see it when your hours open. No blocked clients, no lost evenings.

"I kept saying yes"

43 hours worked, $2,000 paid. Scope creeps one small favor at a time because saying no feels like risking the client. Without a signed baseline and priced changes, every "quick tweak" is unpaid work.

Rixio locks a scope baseline with revision allowances — anything beyond becomes a priced change order the client signs before work starts.

The five-tool tax

Chat in WhatsApp. Files in Drive. Tasks in Notion. Invoices in email. Nothing is connected. You spend more time copying state between tools than doing the actual work.

Rixio unifies chat, files, tasks, phases, agreements, and payments — one link replaces five tools.

Money owed, money forgotten

Phase 1 was paid. Phase 2 wasn't. You forgot to send the invoice. You lose hours every month reconstructing who owes what.

"Any update?"

Clients ping you because they have no other way to know. Every check-in is a tax on your focus and a signal that your process is opaque.

Staff see everything — or nothing

Either your team has access to every client, or they ask you for everything. There's no middle ground without a real permission system.

The reframe

Rixio isn't another team tool.
It's the operating system for your client relationship.

Notion, Trello, Asana, Monday — those tools organize how your team works. They sit on the inside of your business. Rixio sits on the outside: the layer between you and your client, from the first proposal to the final payment. The agreement that protects you. The chat window that protects your evenings. The payment gate that protects your cash flow.

One is for the work. The other is for the relationship around the work. You need both. You just don't currently have the second one.

How it works

From first hello to final payment — one calm flow.

Every step the brief above promised, made concrete. No tool-switching, no copy-paste, no spreadsheet at the end of the month.

  1. 01

Invite your client with one link

Send a single-use proposal link. The prospect fills in their details, sees your terms, and proposes back. No back-and-forth email chains. Your client never pays for Rixio — using it is free for them, always.

  2. 02

    Sign before work starts

Both you and the client sign the agreement digitally. Timestamped, immutable, audit-logged. A project cannot move to active status without two signatures on the table.

  3. 03

    Structure the work in phases

Break the project into clear phases — deliverables, dates, and a payment amount each. The next phase unlocks when the current one is approved and paid. Scope creep meets a structural wall.

  4. 04

Talk on your schedule, not theirs

Define the hours when client chat is open — say Mon–Fri, 10:00 to 16:00. Outside those hours, messages wait. Clients see exactly when you'll be back. Your evenings come back to you.

  5. 05

Get paid automatically — and on time

Per-phase payment schedules. Overdue invoices detected automatically. Both sides see the same finance state in real time — agreed, paid, owed. The "did you get my transfer?" message disappears.

  6. 06

Your client sees only what matters to them

A clean client portal: the agreement they signed, the phase they're in, what's owed, what's waiting on them. They stop asking for updates because they can see them.

Feature highlights

Outcomes you can feel by Friday.

Every feature in Rixio exists to resolve a specific moment in the client relationship. Here is what each one buys you, in plain terms.

Reclaim your evenings.

Time-locked client chat. You set the hours per weekday. Outside the window, client messages wait — they see when you'll be back, you stop seeing notifications you can't action. The midnight message disappears as a category.

Never chase an unsigned contract again.

Mutual digital agreements. Draft once. Both sides sign in-app. Signatures are timestamped and audit-logged. A project cannot reach "active" without both signatures — scope-creep arguments end before they start.

Know exactly what's owed, automatically.

Phase-gated payments with overdue detection. Each phase has a payment milestone. Overdue invoices are flagged in real time. Both sides see the same finance state — no awkward "just following up" emails.

One link replaces five tools.

Unified client workspace. Chat, files, tasks, phases, agreements, and payments — all scoped to the client. No more copy-pasting state between Notion, Drive, WhatsApp, and email. The stack collapses into one place.

Clients see only what you want them to see.

Client portal with scoped visibility. Their agreement, their phase, their balance, their todos. Nothing else. They stop asking "any update?" because they can already see the answer.

Bring your team in — exactly enough.

Role-based access for staff. Build custom roles, grant fine-grained permissions across seven sections, assign teammates to specific clients. They see only what's theirs. The owner sees everything. Every action is audit-logged.

Founder note

I built Rixio because I needed it.

I'm a freelancer. For years my client work happened across WhatsApp, email, Google Drive, Notion, Trello, and a spreadsheet that only I knew the location of. I was good at the actual work — design, writing, code, whatever the brief was. I was terrible at the space around it.

Two things broke me. The first was the midnight messages. A client would text on WhatsApp at 11pm and the next morning I'd have a knot in my stomach about whether I should've answered. My personal life and my work life were on the same screen, the same app, the same notification sound.

The second was the unsigned promises. A scope conversation in a voice note. A "let's just start, we'll figure the contract out" agreement. Three weeks later, a disagreement about what was included. I gave away weeks of work I should have been paid for, multiple times.

I tried the existing tools. Notion is beautiful for my own notes — it has nothing to say about my client relationship. Trello organizes my to-do list — it doesn't sign agreements. The tools I had were built for the inside of a team. The pain I had was in the relationship with the person paying me.

Rixio is what I wished existed. One place where the client relationship lives — proposal, agreement, phases, chat hours, payments, all of it. Built so the client experience is free and frictionless. Built so my evenings belong to me. If you've felt any of this, it was probably built for you too.

Who it's for

Two paths. Same client OS.

For small agencies (2–15 people)

You're juggling six or more clients at once. Coordination overhead is eating your week. You need clients to see progress without you summarizing it, and staff to see their work without you forwarding emails.

  • One workspace per client — no cross-client confusion
  • Role-based access so designers don't see finance and finance doesn't see designs in progress
  • Phase-gated payments so cash flow becomes predictable

For independent freelancers

You have a handful of repeat clients you work with directly — not gig-platform jobs. You want the work to feel professional without spending Sunday writing invoices. You want to stop being available at midnight.

  • Time-locked client chat — your evenings come back
  • Mutual sign-off before any work begins — no more giving work away
  • One workspace your client logs into — no five-tool tax

Not built for marketplace gig work (Fiverr, Upwork). Rixio is for freelancers and agencies with direct, ongoing client relationships — where the agreement matters and the relationship lasts longer than a single delivery.

Pricing

Your clients use it free. You only pay when you scale.

Free for every client you invite — they never see a paywall. You only upgrade when you outgrow the number of clients or staff seats your plan allows.

“Most founders are building inside someone else's category and don't even realize it. Mina built something different — this isn't project management, it's a client operating system. The deal flow, the agreements, the scheduling — it's all built around one outcome: making sure the work between two people actually gets done, no matter what's happening around it.”

Frequently asked

Questions, answered.

How is this different from Notion, Trello, or Monday?

Those are internal team tools — built to manage work. Rixio is built for the layer between you and your client: the agreements, the phases, the payments, the communication boundaries, the client-facing transparency. You can keep using Notion internally if you want. Rixio is where the relationship lives. We don't compete on internal task management — we cover the thing those tools were never designed for.

What if my client doesn't want to use another tool?

Then they never have to sign up. Send a guest link and your client (or any stakeholder — their marketing lead, their boss) opens it in a browser and immediately sees the agreed scope, change orders, agreement and payment status — and can sign off changes with their typed name. No account, no password, no onboarding. Full client accounts exist for clients who want chat and files, but approvals never require one.

Won't strict change control slow things down or create tension?

The opposite. A change request takes the client 30 seconds to submit; you price its cost and time impact; they sign with one click. It's not an emotional negotiation — it's a workflow. Requests sent off-hours are queued, not rejected, so nobody feels blocked. And included revision allowances mean small tweaks stay free and frictionless — only genuinely out-of-scope work gets priced.

What happens to my data if Rixio ever goes away?

You can export everything, any time, in one click: scope, change orders, signatures, agreements, payments, and the full message log — as a printable PDF record or CSV. Your client records are never held hostage. This works from day one, not as a "coming soon" promise. Guest links also carry their own export button, so even your clients can pull their record.

Is this only for the MENA region?

No — Rixio works for freelancers and small agencies anywhere. But it was built with deep awareness of how client work actually happens in MENA: heavy WhatsApp dependency, mixed-language communication, late-night client expectations, and the cultural rhythm of how agreements get made. If you're outside the region, none of that is in your way. If you're inside it, the product was shaped by your reality.

Can my team use this too?

Yes. You can invite teammates with role-based access — designer, project manager, accountant, whoever. Each person sees only the clients and capabilities you grant them. The client never sees your internal team structure unless you choose to show it. So you get one workspace that serves both sides: your team coordinates internally, your client sees a clean external view.

One place for every client. From first proposal to final payment.
